Job Opportunity: Finance and Logistics Officer (Indonesia)

Our dynamic Asia-Pacific nonprofit is hiring a Finance and Logistics Officer for our Digital Rights – Indonesia (DR-ID) project.

The position will support the DR-ID team with comprehensive finance, administration, and logistics functions. As a key member of the Operations team, the role is responsible for ensuring efficient financial management, smooth logistics coordination, and timely project administration. This includes managing travel and event arrangements, overseeing office resources, coordinating with suppliers, and upholding financial policies and procedures. Additionally, the officer will assist in budget tracking, reporting, and procurement processes to support the operational needs of the DR-ID team in achieving program objectives.

We are seeking candidates who align with our organisational goals of human rights, democracy, and the environment, and who have a background working with nonprofits. Extensive experience in working remotely and in multicultural settings is a big plus.

The position is full-time and open to anyone based in Indonesia. You’ll be working with an international team in an agile environment that prioritises a distributed work culture.

Position Aims

  • Provide finance, administrative, and logistical support to the Digital Rights – Indonesia (DR-ID) team
  • Provide timely general finance and administrative support as part of the larger Operations team

Responsibilities

Project administration and logistics
  • Travel and event management:
    • Assist with the travel arrangements of DR-ID staff, participants, and consultants. This includes booking of flights and accommodations, support in visa processing and other travel-related needs.
    • Compute DR-ID staff, participants, and consultant’s payment requests, reimbursements, per diem, and cash advances
    • Provide logistical support during events, workshops, and meetings of DR-ID team
    • Lead the coordination with travel and event-related suppliers, e.g. venue, transportation, catering
  • Procurement:
    • Assist in the quotation gathering for the procurement of goods adhering to the organization’s procurement policy
    • Liaise in the preparation of consultancy contracts and payments
    • Assist in the coordination and monitoring of contractor deliverables
  • Office management:
    • Ensure Bali office is sufficiently resourced to support programs and operational activities
    • Assist with the possible legal/permanent establishment of Bali office
    • Lead the possible annual statutory requirements and taxation of Bali office
  • Finance:
    • Support the tracking and maintenance of DR-ID budgets
    • Assist in DR-ID financial reporting to funders and other third parties
    • Lead the preparation of the DRI-ID team’s internal budgets

General finance and administration

  • Bookkeeping – record financial transactions in the organization’s accounting system
  • Support monthly bank account reconciliation
  • Contribute to and uphold financial policies
  • Support internal filing and archiving, developing, and improving systems
  • Support the development and implementation of financial and administrative systems
  • Assist in taking minutes of meetings at weekly ad hoc and finance meetings
  • Support in knowledge management
  • Liaise between Operations team and DR-ID project team members regarding the organization’s policy implementation and amendments

Collective responsibilities

  • Record and document tasks in an efficient manner ensuring accurate and timely communication with Management and EngageMedia staff
  • Bring one’s passions and creative interests to the organisation and assist in evolving the organisational culture, our expertise and our knowledge
  • Contribute to EngageMedia’s networking, outreach, and engagement efforts
  • Communicate professionally with team members and partners at all times
  • Ensure all work is conducted and delivered according to the processes, standards, technical and management system, and deadlines required by EngageMedia

  • Perform other tasks that relate to the position aims
  • Contribute to a productive and well-managed working environment for all team members

Selection Criteria

Required Attributes
  • Minimum 3 years working experience in travel management and administration
  • An understanding of and commitment to EngageMedia’s aims and workplace values
  • Excellent communication and organization skills
  • Fluency in Bahasa Indonesia and working proficiency in English
  • Ability to take on a variety of deadline-driven tasks with limited supervision
  • Analytical and problem-solving skills
  • Ability to work with a diverse team across multiple cultures, geographies, and timezones in virtual workspaces
Preferred Attributes
  • Experience working in a national or international non-profit organisation
  • Working experience in finance and accounting
  • Based in Indonesia and willing to relocate to Bali

Remuneration

The expected starting date is February 14, 2025. An initial 12-month, full-time contract will be offered, with annual extensions based on the completion of successful performance reviews and the availability of project budget.

The annual gross remuneration will be between 14,500 and 16,500 USD, depending on skills, location, and experience, inclusive of a monthly allowance and health insurance subsidy.
